What is an AI front desk?
An AI front desk answers your customers on every channel, day and night, and hands over to your team when a person is needed. What it does, where it stops and what to ask before you choose one.
What an AI front desk is
Picture the person at your front desk. They answer the phone, reply to messages, book appointments and know when to call the manager. An AI front desk does the same job on every channel at once: WhatsApp, Instagram, Messenger, the chat on your website and the phone.
It works from your business, not from the internet. You give it your prices, opening hours, services and policies, and the way you like to speak to customers. When a message arrives, it answers from that material, finishes the task if it can, and passes the conversation to your team if it can’t.
Why UAE businesses are adding one
Customers have moved to messaging, and they expect an answer at any hour.
- They message first. In Meta’s 2026 study of 22 markets, including the UAE, 73% of people said they prefer messaging when they contact a business, and 67% get frustrated when it isn’t offered.
- They expect an answer at night. 74% of consumers now expect 24/7 service because of AI, and 86% say quick, accurate answers strongly influence what they buy, according to Zendesk’s CX Trends 2026.
- In the UAE, that means WhatsApp. In a 2024 YouGov poll of 1,000 UAE residents for Zbooni, 85% said they would rather use WhatsApp to deal with companies.
Few teams can watch WhatsApp, Instagram, the website and the phone through evenings, weekends and holidays. That gap is the job an AI front desk is built for.
What it does all day
- Answers questions about prices, availability, location and policies, in Arabic or English, in seconds.
- Books and qualifies. Appointments, viewings, tables and calls go straight into your calendar, and new leads get the right questions before your team picks them up.
- Follows up with a reminder before the appointment, a review request after it and a message when it’s time to rebook.
- Hands over complaints, refunds and anything it isn’t sure about to a person, with a short summary so the customer doesn’t have to repeat themselves.
- Reports. Every chat sits in one inbox your team can see, with monthly numbers on bookings, leads and reply times.

AI front desk, chatbot or another hire?
| Feature | Old-style chatbot | AI front desk | Another hire |
|---|---|---|---|
| Replies | From a fixed menu | In natural language, from your approved answers | In their own words |
| Hours | 24/7 | 24/7 | Their shift |
| Channels | Usually one | All of them at once | One conversation at a time |
| Books and follows up | Rarely | Yes | Yes |
| Complaints and judgement calls | No | Hands over to your team | Yes |
The best setup uses both: the AI takes the volume and the night shift, and your team takes the moments that need a person.
What customers still want from a person
Speed isn’t the whole story. In the same Zbooni poll, 87% of UAE consumers said they want businesses to use a real person rather than a chatbot or AI. WhatsApp sets the same bar: its Business Messaging Policy allows automated replies only if customers have a quick, clear way to reach a person.
So judge an AI front desk by its handover. It should say it’s an assistant, let customers ask for a person at any time, and pass the chat on with the details, so your team picks up where it left off.
What to ask before you choose one
- Does it only use answers you’ve approved? And what does it do when it doesn’t know?
- Is it on the official WhatsApp Business Platform? Unofficial tools break WhatsApp’s terms and put your number at risk.
- Is it as good in Arabic as in English, including messages that mix the two?
- How does the handover work, and can your team see and join every chat?
- Who keeps it accurate? Prices, hours and offers change, and someone has to update the answers and review real chats.
- What happens to your data? Ask where chats are stored, who can see them and whether they are used to train AI models.
- What will you see each month? Bookings, leads and reply times, not just message counts.
What it costs
With Flow Automation, you pay a monthly fee and a one-off setup: from AED 990 a month with AED 1,500 setup, up to AED 3,990 a month with every call and message covered. Prices exclude VAT, and WhatsApp message fees from Meta are passed on at cost. See what each plan includes.
Most of a front desk’s WhatsApp traffic costs nothing, because your replies within 24 hours of a customer’s message are free. Our guide to WhatsApp’s 2026 rules explains what is charged.
How long it takes
With Flow Automation, Starter goes live in about two weeks, Growth in three to four and Full in five to six, counted from when we have your materials and access. Every answer is tested in Arabic and English first, and nothing goes live without your sign-off. The steps are on our Flow Automation page.
